A: For those residing in Japan with the status of residence of Student at the time of enrollment

Affiliated institution forms issued by the University and specified by the Immigration Agency are necessary when renewing (or changing to) the status of residence of Student at the Immigration Services Agency of Japan. Applicants requiring these forms should, after receiving a letter of acceptance, contact the following campus office (international exchange office) in advance, and bring their Residence Card, passport, student ID from their current affiliated school, and JFOU letter of acceptance to the university office.

Students who have enrolled via selection of international applicants can obtain their letter of acceptance in data form on the My Page for Admission.

B: For those resident outside Japan with no status of residence at the time of enrollment (people residing outside Japan)

*This covers applicants to who submitted the Application for University Representation during Certificate of Eligibility Acquisition Process with their application documents.

 

Applicants who have completed enrollment procedure by the prescribed deadline may select proxy application by the University for their Certificate of Eligibility (Student).
The screening for a Certificate of Eligibility typically requires around two months, so if you would prefer us to apply on your behalf, please pay the Enrollment Fee and promptly apply via following steps, regardless of the enrollment deadline.

  1. Submit necessary documents to the Office of Admission and Enrollment
Please prepare the documents listed in the below Necessary Documents for Proxy Application and submit them to the Office of Admission and Enrollment.

*Please enter “Applicant Number ******** Necessary Documents for Certificate of Eligibility” as the email title.

Submission deadline: The enrollment deadline

  1. Receive documents from the Office of Admission and Enrollment
The University will apply on your behalf to the Tokyo branch of the Immigration Services Agency of Japan.

Once the Certificate of Eligibility is issued, we will send it to the applicant themselves.

  1. Obtain a Student visa at the Japanese Embassy or consulate in your home country
Please apply promptly to the Embassy of Japan or the Consulate-General of Japan for a Student visa to be issued.

Necessary documents for proxy application

Please prepare the necessary documents listed below and send them to the submission address.

Please note that additional time will be required for issue of the Certificate of Eligibility by the Immigration Services Agency of Japan if there are problems or omissions with the documents.

 

(1) Application for Certificate of Eligibility

Application for Certificate of Eligibility (Excel file, HANDWRITING PROHIBITED)

 

– Please enter the necessary items. (Items 9,14,22,30 and the signature of the applicant are not required)

– When circling options such as yes/no is required, please copy and paste the circular shapes located in the gray area to the right of the application form.

– Please enter your name in item 3 as it is spelled alphabetically on your passport.

– Please enter the place of birth in item 5 to the level of ABC province, ABC city.

– The Certificate of Eligibility will be sent to the home town/city address in item 8. Please be sure to enter it in English characters, correctly, and in detail.

– With regard to the occupation in item 27 (2) ③ , please enter sufficient detail to show the nature of the business. For example, for company employees, write “banker” or “food company employee,” or for self-employed people, please write “hotel management” or “restauranteur.”

– With regard to the annual income in item 27 (2) ④ , please enter the exchange rate used and the amount in Japanese yen. (E.g. “3 million yen (1 renminbi = ABC yen),” “3 million yen (100 won = ABC yen)” )

– There is no need to enter anything in Affiliated Institution pages 1 and 2 as JFOU will create this for you.

 

​​*Request for Issuance of the Certificate of Eligibility will be made once completion of enrollment is confirmed. Please be sure to meet the enrollment and data submission deadlines.

*Please also let us know when Request for Issuance of the Certificate of Eligibility is not necessary (such as if you have dual citizenship).

 

(2) Scan of the passport page with photo and name

*Not required if supplied when applying for admission.

*About Immunization History Form

  • Exchange students enrolling at JFOU are required to submit an Immunization History Form. Please see the enrollment page on the Moodle student site for details.
  • The address of the Moodle student site will be listed together with the letter of acceptance etc. on the My Page for Admission one to two weeks after the enrollment deadline.
  • A notification will be sent to your registered email address once the web link listing is complete. Please check the My Page for Admission once you receive that email.
  • Please be aware that Moodle student site is not available simply by searching for “J. F. Oberlin University Moodle.”

Cautionary Notes

1: The University only applies by proxy for the status of residence of Student. Please apply directly for any other status of residence.
2: Please return the Certificate of Eligibility immediately if you cancel your application for enrollment at the University.
3: Please take care that you do not apply for multiple Certificates of Eligibility if you are accepted to other universities in Japan as well. A Certificate of Eligibility will not be issued in the event of multiple applications.
4: Proxy Application for the Certificate of Eligibility is not possible if there are problems or omissions with the documents. Please take care to avoid any problems or omissions. Also note that the Immigration Services Agency of Japan may request additional documents in some circumstances.
5: Since the status of residence screening is conducted by the Immigration Services Agency of Japan, part of the Ministry of Justice, JFOU takes no responsibility whatsoever for cases where issuance of a Certificate of Eligibility is delayed or denied.
